HCS Job Description:   Website Manager

 General responsibilities

 The Website Manager is responsible for maintaining the Harpenden Choral Society website in order to promote the Society in a positive way to the general public, to encourage prospective members to join the choir, to enhance ticket sales for concerts and to provide relevant information to choir members.

He/she receives direction from and reports to the main Committee through the Chair.

The Website Manager is not empowered to enter any commitment or expenditure on behalf of the choir except as expressly authorised by the Committee or by the Chair acting on behalf of the Committee.

Specific responsibilities

Updating the Members Area

This part of the website is only accessible to paid up members of the choir via a username and password.

  • update Notices as soon as possible with information provided at rehearsals or by emails sent to all members from the Chair, Musical Director or Committee members
  • update Notices with other information likely to be of interest to Members e.g. photos, website/choir feedback, audio clips, link to Making Music, other music events, music discount offers; if this information is provided by non-committee members the content must authorised by a committee member before inclusion on the website
  • update Notices at least annually with the Easyfundraising total provided by the Treasurer
  • update Rehearsals termly from information passed on by the Chair, creating links to recognised websites that offer rehearsal aids by choir part
  • update the Calendar (term dates, concert dates/venues/repertoire, social events) as required using information provided by the Chair
  • update Members Guidance as required using text provided by the Membership Secretary
  • update Subscriptions as required using text provided by the Treasurer
  • at the beginning of September update Annual General Meeting with the Notice and report papers for the upcoming AGM, as provided by the Secretary
  • update Annual General Meeting with the Draft Minutes of the most recent AGM as soon as they are available from the Secretary
  • update Constitution as required using text provided by the Secretary
  • update Contact Details as required using information provided by the Secretary or Membership Secretary
  • update the Job Descriptions (accessed via links from Contact Details) as required using text provided by the Secretary

Updating the Public Area

Maintain the following pages:

  • Home – Hear Us: update with the next concert and/or open event details as soon as possible after the current concert (information will already be available from the members’ Calendar); update with poster image and publicity details as soon as available from the Publicity Manager
  • Home – Join Us: update at the end of each season with details of the next Open Rehearsal; update again after the Open Rehearsal with more general wording provided by the Membership Secretary
  • Home – Support Us: update as required with text provided by the Chair
  • About Us: update as required with text provided by the Chair
  • Musical Team: update as required with any changes provided by the Chair
  • Our Repertoire: update after each concert
  • Community Links: update annually with the Christmas Concert charity collection details provided by the Treasurer

 

  • Concerts: update as required with text provided by the Chair
  • What’s On: at the end of the season, update concert dates/venues/repertoire for the next season with information from the Calendar; update the next concert with the flyer/publicity details as soon as available from the Publicity Manager
  • Open Rehearsal: at the end of the season, update with details of the next Open Rehearsal (and with the flyer as soon as available); update again after the Open Rehearsal with more general wording provided by the Membership Secretary
  • Concert Reviews: update after each concert with the poster image and the review provided by the Secretary
  • Join us: update as required with text provided by the Membership Secretary
  • Support us: update as required with text provided by the Chair October 2016
